working bees, event set-ups, & canteen duty

Adult riding members, parents and guardians of U18 riding members joining Massey Pony Club recognise that a riding membership at Massey Pony Club involves active participation by all adult members in the running of our club. Our club is run purely by members and volunteers. This means we rely on the efforts of each and every member to help the club be successful.

It is a condition of membership that you agree to attend (or arrange for alternative assistance) at working bees, key events and in the canteen during rallies. Please note the only adults over the age of 18 will have their hours accounted for.

EVENT DATES - 2024-25 season

Events Massey Pony Club will be running for the 2024 - 2025 season are as follows:

  • Ribbon Day - TBC

  • Two Day Event on the 1st and 2nd of February with a rain date of the 15th & 16th of February

  • Derby Day on the 23rd of March

  • Show Jumping Day on the 4th of May

EVENT SET-UP DATES

For each of these events we have the following Event Set-Up dates:

  • Ribbon Day set up - TBC

  • Two Day Event set up on the 28th of January and 31st of January

  • Derby Day set up on the 22nd of March

  • Show Jumping Day set up on the 3rd of May

EVENTS OBLIGATIONS

To run a great event can take a great deal of time, but working together also helps us make friends and can be a fun day out. If every member and their family help, the required tasks get done quickly.

  • All Members are to assist with event set up on the 28th and 31st of January for the Two Day Event (6hrs)

  • Members can choose two other events to assist with event set up (8hrs)

  • All Members are required to assist with on the day job(s) at the Two Day Event (4hrs)

  • Members can choose two other events to assist with on the day job(s) at the event (8hrs)

In total, we estimate that across the season each family will be asked to invest approximately 26 hours into these various activities for events.

working bee dates

Generally working bees are to prepare for events that our club hosts, but can also be for general maintenance and upkeep of the grounds.

Working bees for this season are as follows:

  • First working bee of the season on the 5th of October

  • Quarter season working bee on the 8th of December

  • Two Day Event working bee one on the 19th of January

  • Two Day Event working bee two on the 26th of January

  • Quarter season working bee on the 1st of March

  • End of season working bee on the 24th of May

WORKING BEE OBLIGATIONS

  • All members are required to attend first working bee of the season from 9am - 1pm (4hrs)

  • All members are required to assist at one of the Two Day Event preparation working bees from 8:30am - 2:30pm (6hrs)

  • Members can choose two other working bees to attend from 9am - 1pm (8hrs)

 We estimate that across the season each family will be asked to invest approximately 18 hours into these various working bees.

CANTEEN

Each Tuesday rally night we have the canteen open to serve yummy snacks and dinners for our members, each family will be required to help in the canteen for a minimum of 3 junior rallies, 5:30pm - 8:30pm. In total we estimate each family across the season to invest in canteen assistance approximately 9 hours for the entire season.

In summary, by joining the club, you and your young riding member agree to assist across the season with:

  • Two Day Event set up

  • Two Day Event job(s) on the day

  • One of the Two Day Event working bees

  • Two other Events set ups

  • Two other Events job(s) on the day

  • First Working Bee of the season

  • Two other Working Bees

The total hours each family are obligated to invest in Events and Working bees to approximately 44 hours.

Those unable or unwilling to assist with working bees and events may be levied up to $600 per season. Hours completed by members at events, event set ups and workings bees must be logged. Hours to date will be updated throughout the season and communicated back to members. These must be checked and communicated to the Working Bee Coordinator if incorrect. 

Note: Working Bee, Events / Event Setups do not apply to Intro to Pony Club Members.

Outstanding levy invoices must be paid as a pre-condition of registering for a Massey Pony Club competition or team’s event, and prior to next season’s re-enrolment.
